How to make a quotation

  1. Add your business details. Name, address and tax ID (GSTIN, VAT or TRN) so the quote looks credible and stays compliant.
  2. Add the customer. Their name and address — this is who the quotation is addressed to.
  3. List items with prices and tax. The quote generator calculates subtotal, tax and total automatically.
  4. Set a validity date. Quotes usually expire in 15–30 days so old prices can't be held against you.
  5. Download and send. A clean PDF you can email or WhatsApp to your customer.

Quotation vs invoice

A quotation (or quote) is sent before work begins — it tells the customer what you'll charge and how long the price is valid. An invoice is sent after the work or sale — it's a request for payment and, in countries like India, UAE and the UK, a tax document.

When the customer accepts your quote, you convert it into an invoice. With a free Ascend account that conversion is one click — the quote's items, taxes and customer details carry over automatically, and you can track whether it's been viewed or paid.
